Summary: Reporting to the Chief Executive Officer the incumbent manages all operations of the company as they relate to the receival and storage of goods purchased by the company and the distribution of the finished product(s) with the objective of maximizing efficiency and effectiveness.

Duties and Responsibilities:

Management/ Administrative Responsibilities:

  • Participates in the development of the Company’s strategic business and operational plans
  • Prepares and manages the Division’s budget
  • Develops and monitors the department strategic/ operational work plans and programmes;
  • Review the Department structure, based on any organizational changes that may be recommended
  • Provide feedback to department members by having regular meetings.
  • Attends various meetings with internal and external personnel regarding the Company’s operations
  • Schedule regular meetings with resource personnel and visit all rural locations at least once per month to facilitate such meetings

 

Technical//Professional Responsibilities:

+ Plan and direct all activities related to Distribution and the Warehouse by:

  • Developing/maintaining suitable recording and reporting systems
  • Monitoring schedules for the different routes per plant.
  • Maintaining procedural manual for the department, setting out the procedures for all major activities
  • Ensuring compliance to standards relating to operation of the Warehouse Procuring all raw material used for finished products.

+ Develop and monitor control systems to identify problems.

  • Set up weekly reporting of raw material balances.
  • Ensure adequate stock inventory, through on-time requisition.
  • Manage stock control and reconcile with data storage system
  • Monitor contractors to ensure that all vehicles are road worthy.
  • Establish/monitor vehicle fleet which includes stand-by vehicles.
  • Visit schools and routes travelled by distribution contractors
  • Assist in remedying issues/concerns communicated by schools
  • Implement and monitor preventative maintenance programmes for N.P.L. vehicles to include the forklift.
  • Develop strategies to ensure continuity in production as relating to shortages of raw materials.

+ Ensure that accurate up-to-date records are kept of deliveries of snacks/raw material/returns, waste etc.

  • Compile/review daily/monthly reports and reviews from all plants.
  • Attend meetings/reviews with Ministry of Education.
  • Compile monthly report to Board Sub-Committee.
  • Ensure that supplies of school meals are consistent and punctual.
  • Conduct daily quality control checks – appearance, colour, shape taste.
  • Analyze and develop loading schedules – placing emphasis on load time.

+ Provide clear channels for communication and coordination between all rural locations and the Production and Maintenance Manager re: distribution, raw material, contractors and customers:

  • Maintain communication systems.

+ Safeguard warehouse operations and contents by establishing and monitoring standard of health and safety, hygiene and security procedures and protocols

+ Maintains physical condition of warehouse by planning and implementing new design, layouts, inspecting equipment, ensuring that work orders for repairs and requisitions for replacement  are done as necessary

+ Oversee receiving, warehousing and distribution operations

+ Examine products or material in order to estimate qualities and weight

+ Develop cost reduction initiatives while maintain productivity and quality

 

Human Resource Responsibilities

  • Monitors and evaluates the performance of direct reports, prepares performance appraisals and recommends and/or initiate corrective actions wherever necessary to improve performance and/or established personal and/or organizational goals;
  • Participates in the recruitment of staff for the department and recommends transfers, promotion, termination and leave in accordance with established Human Resource Policies and Procedures
  • Develops and implements in collaboration with the Human Resource Department, a programme of Succession Planning for the department to facilitate continuity and the availability of required skills and competencies to meet the needs of the Division;
  • Provides leadership and guidance to direct reports through effective planning, delegation, communication, training, mentoring and coaching;
  • Ensures the welfare and developmental needs of staff in the Division are clearly identified and addressed;
  • Establishes and maintains a system that fosters a culture of teamwork, employee empowerment and commitment to the department’s and company’s goals

  • Reports are comprehensive, accurately prepared and submitted in accordance with established time line
  • Schedules accurately prepared in keeping with established time line
  • Meals supplied are of high quality, hygienically prepared and delivered in accordance with established guidelines
  • Up-to-date records of deliveries of snacks/raw material/returns, waste etc.

Minimum

Qualifications:

Bachelor’s Degree in Logistics or Supply Chain Management or Management     Studies, Public Administration or equivalent

Minimum            

Experience:

  • Five (5) years experience in a managerial position
  • Experiencing working with distribution networks
  • Experience in Warehouse Management Software and Databases

Authority:

  • Recommend appointment, promotion, transfers, training, re-assignment and dismissal of direct /indirect reports in accordance with established policies and procedures
  • Recommend/not recommend leave requests etc.

 

Working Conditions:

  • Some heavy to moderate lifting
  • Hours vary according to volume of work
  • Long hours sitting using computers etc.
  • Long hours standing conducting inspections/receiving goods

 

REMUNERATION

Basic Salary: $4,266,270.00 – $5,737,658.00 per annum
